You will also be responsible for ad-hoc tasks to ensure our internal operations continue to run smoothly.

What You’ll Do

  • Manage complex travel arrangements: Coordinate flights, accommodations, and ground transportation for the CEO and senior leadership, ensuring all travel plans are efficient and cost-effective.
  • Oversee executive inbox: Review, prioritize, and manage the CEO's email inbox, including responding to or redirecting emails, and highlighting urgent messages.
  • Track meeting follow-ups: Monitor action items and required follow-ups from regular meetings. Ensure responses and follow-ups are obtained before the next scheduled meeting to maximize productivity.
  • Prepare meeting agendas and materials: Assist in creating detailed agendas, distributing relevant documents, and ensuring the CEO and senior leadership are well-prepared for meetings.
  • Organize and manage the CEO's calendar: Schedule and coordinate appointments, meetings, and events, while ensuring the CEO’s time is optimized.
  • Facilitate internal and external communications: Act as a liaison between the CEO and other executives, employees, and external stakeholders.

We’re looking for someone with:

  • Excellent business communication skills, both written and verbal
  • Comfortable with online productivity tools such as Google Docs/Word and Sheets/Excel
  • Ability to improve the productivity and efficiency of executive team members through organized support and proactive assistance
  • Meticulous attention to detail in all tasks and communications
  • Experience in anticipating potential issues and developing preemptive solution
  • Proven ability to create and manage comprehensive checklists and to-do lists to ensure all tasks are completed
  • Maintain security of personal information and sensitive company data
  • Adaptability to take on increased responsibilities as the role and company evolve
  • A track record of successfully managing complex projects or events, demonstrating strong organizational and problem-solving abilities
  • Experience in a start-up/scale-up environment, or education in a relevant field, is an asset
